AI use at ProTalent: Ethical Principles

ProTalent is a specialist recruitment consultancy in the UK, founded in 2009. The company was born out of frustration from seeing recruitment done ‘badly’ in the marketplace. There was a burning desire to do recruitment well. To do it ethically, inclusively, transparently and with honour. This belief holds true today, 15 years on, and this guiding principle will continue to allow us to contribute to the success of our clients, our candidates and our colleagues alike. While embracing technology, we do so responsibly and in line with our guiding principles.

As a small business we do not develop our own AI tools, instead, we utilise tools that are crafted by trusted tech specialists, however this does not negate our responsibilities. The following set of guiding principles give a clear framework for safe, responsible and transparent use of AI at ProTalent, all designed to allow us as a business, to provide an exceptional level of service to our clients and candidates.

  1. Compliance with UK laws and regulations
    • ProTalent ensures full compliance with the Recruitment & Employment Confederation’s Code of Ethics, GDPR and the Equality Act 2010.
    • AI will only be used in strict accordance with legal and ethical standards to safeguard candidate rights.

  2. Security & Data Privacy
    • Privacy Policy & Candidate consent: Our privacy policy has been updated to include details of our use of AI. All candidates will be informed of our Privacy Policy at the point of registration and will have the right to opt-out.
    • Data Protection: ProTalent will only store essential data on our secure CRM system with multifactor verifications and restricted access.
    • Limited AI access: Personal Identifiable Information (PII) will be removed before CVs are processed through AI tools.

  3. Human Oversight & Transparency
    • Human Decision-Making – for the avoidance of any bias, discrimination or unfair decision-making, hiring and shortlisting decisions will be made by humans alone.
    • Any CVs or candidate profiles that are parsed by AI tools will be reviewed and approved by humans before being used.
    • Regular audits and reviews of any decision-making AI tools will be conducted by management to ensure they do not introduce bias or discrimination.

  4. Diversity & Inclusion in AI Models
    • Human-Led Shortlisting: ProTalent operates in a niche and specialist area, AI shortlisting tools come with many risks and our consultants should be responsible for shortlisting. To reiterate – this is a job for Humans at ProTalent, not AI. We promise that hiring and shortlisting decisions will be made by experienced consultants only.
    • While we recognise that AI has shortlisting capabilities, shortlisting should remain a human-led task at ProTalent for the foreseeable future.

  5. Ethical Development and Continuous Monitoring of AI
    • AI tools will only be sourced from ethical and secure providers and will be reviewed and audited regularly by Management.
    • All staff using AI tools at ProTalent will be responsible for the outputs they have generated through AI tools. Nothing should be used without human review for accuracy, fairness and reliability.
    • ProTalent Privacy policy outlines the feedback process so that candidates and clients alike can report AI concerns which will be investigated by senior-level humans in a timely and transparent manner.

  6. Responsible AI communication
    • Transparency: ProTalent will be fully transparent about our AI use in recruitment. All AI-generated insights will be verified by human recruiters.
    • Any AI-generated recruitment and marketing materials such as job descriptions, adverts, social media posts, profiles etc will always be reviewed by humans before being shared.
    • ProTalent employees will be fully trained in our approved AI tools as well as their responsibilities when using such tools.
